Administrator (Digital Manufacturing on a Shoestring)

We are looking for an experienced individual to ensure the smooth running of administrative & business support tasks for the Digital Manufacturing on a Shoestring project in IfM Engage by providing operations support, marketing support and events management and administration for in-person and online events. The successful applicant will possess excellent communication, administrative and IT skills (particularly Microsoft Office and Teams) and be prepared to work on their own initiative to support all members of the team as required. Close attention to detail and a high level of accuracy are essential along with exceptional organisational and time management abilities. Role Summary The Shoestring Administrator’s primary responsibilities are to provide operations support to the Digital Manufacturing on a Shoestring team. This is a 2-year fixed-term contract in the first instance. Operations support • Providing excellent customer service to the small companies we work with by monitoring and responding promptly to customer queries via email where possible, forwarding on others to appropriate individuals for action. • Sales support administration, including setting up customer accounts, managing customer documents, meeting scheduling. • Collecting and organising data and documents and updating systems (including a Customer Relationship Management system). Assisting with reporting. • Supporting the ordering, packaging and posting of electronic components or demonstration equipment. Event management and administration – for online and in-person events • Diary management, identifying suitable dates. • Booking meeting rooms/set up video conference and invite participants. • Arrange printing of any materials, provision of flipcharts, pens, etc. • If appropriate, organise catering, travel, accommodation and parking. • Collect and process event data and any feedback forms. Marketing support • Website management – updating content. • Writing and posting short updates on social media (e.g. LinkedIn) • Design and layout of newstories (copy provided elsewhere), choosing images, adding events info. Other administration support as required.
