Senior Executive Business Administrator

We are looking for an experienced, action-oriented, and highly organised Senior Executive Assistant to support the leadership of a new global team who are working at the intersection of artificial intelligence and the natural sciences. This work will create opportunities to help tackle some of society’s most important challenges, including sustainability, our understanding of biology, and the treatment of disease.

At Microsoft Research, we truly aspire to transform the world through deep research. We recently established a new global AI4Science team who will be working to model and predict natural phenomena using machine learning. Our team encompasses world experts in machine learning, quantum physics, computational chemistry, molecular biology, fluid dynamics, software engineering, and other disciplines, who are working together to tackle some of the most pressing challenges in this field.


The ideal candidate will be able to manage an exciting set of broad-reaching priorities, anticipate and remove roadblocks, make timely decisions, and proactively identify areas to help support the business. You will work in partnership with your leaders, business management, and other members of business administration to provide seamless support to your team and the organisation. You will operate in a variety of capacities, demonstrating excellence in administrative functions. 


  • Calendar Management: End-to-end management of complex leadership team calendars, utilising a strong attention to accuracy, timeliness, conflict resolution, and alignment to priorities and commitments - all resulting in the leaders staying focused on their business priorities, working efficiently and being fully prepared.   
  • Rhythm of the Business: Partner with leader and business management on management of rhythm of business calendar and preparing and or coordinating internal and external engagements as required. Plan and execute meetings, events, off sites, morale activities and partnerships both inside Microsoft and external with partners.     
  • Prioritisation and Planning: Assist the team in driving results by ensuring that the leader and teams spend time on the most important priorities, use meeting time well with agendas and explicit meeting goals, and build work-back schedules into calendars. Use judgement and familiarity with team goals to make sure that the leaders are spending their time wisely.   
  • Culture and Community Building: Craft fun and engaging team experiences to ensure employees continue to feel connected.     
  • Budget and Expense Co-ordination: Maintain understanding of the team budget, including Purchase Orders and expenses. Purchase equipment, services, and supplies. Create purchase orders. Prepare expense reports for leaders and interim approve expense reports for team with a strong understanding of compliance.    
  • Travel Co-ordination: Plan and coordinate domestic and international travel end-to-end, including the proactive anticipation of logistics and itineraries.   
  • Collaboration and Partnership: Collaborate and partner with support staff across the organisation to ensure consistent experiences and contribute to the administrative community.  
  • Team Operations: Ensure compliance of the company’s operational policies and procedures, external vendor staff process, goods/services procurement, team space, and team aliases. 





High proficiency with Microsoft productivity software, including Word, Outlook, PowerPoint, Excel, and Teams. 

A self-starter with the ability to anticipate needs and act ahead of direct guidance in a fast-paced environment. 

Excellent written and verbal communications skills.    

Ability to maintain the confidentiality of highly sensitive material with tact and professionalism.             

Desire to take on big challenges and the ability to see the big picture as well as the details.          

Ability to react with appropriate urgency to situations and requests.     

Excellent planning, organisational, time management and problem-solving skills. 

Approachable and can maintain a calm and focused approach, within short time constraints, and in relatively ambiguous and complex situations. 

Ability to build effective cross-group working relationships and work collaboratively with people at all levels of the organisation 

5+ years of demonstrated work experience supporting leaders in a fast-paced environment. 

Prior experience working in the fields of pharmaceuticals, healthcare or materials science would be desirable.
